Form 7004: PDF & Business Tax Extensions Guide

This Form 7004 guide explains the IRS Application for Automatic Extension of Time To File Certain Business Income Tax, Information, and Other Returns. Form 7004 requests additional time to file one of the business or other returns listed in its instructions. The correct return code and tax period are central to the request. A filing extension generally does not eliminate the need to estimate and timely pay the underlying tax.

Which version of Form 7004 should you use?

This form follows a revision or continuing-use format rather than a new title for every calendar year. Check the revision printed on the document and the period requested inside it. A revision date, transaction date and tax year are different pieces of information. The current document should be read with the instructions that apply to the actual transaction or return.

Records to gather for Form 7004

  • Entity name and EIN.
  • Return form and code.
  • Tax period.
  • Tentative tax calculation.
  • Payment and credit records.

Keep a working reconciliation with these records. It should show the source of each reported item, any correction made before filing and the reason a different amount appears on a connected form. This is especially useful when a statement is corrected or a prior-year balance continues into the current calculation.

How to work through Form 7004

  1. Confirm applicability. Start with the purpose, filer category and version of the form. Complete any eligibility or applicability question before spending time on the numerical calculation.
  2. Prepare the source workpapers. Gather the records listed below and reconcile their totals. Keep prior-year balances, current-year transactions and estimated payments separate where they serve different purposes.
  3. Complete dependent calculations first. When a line refers to another form, schedule or worksheet, finish that supporting calculation first. Preserve any classification, limitation and carryforward information.
  4. Follow the line sequence. Use the actual line labels and arithmetic in the applicable form. A line number from an older version may refer to something different after a revision.
  5. Reconcile the filing package. Check names, identifying numbers, tax periods, totals and required attachments. Then use the filing method, signature process and deadline that apply to this filer and form.

Use Form 7004 to request an automatic extension of time to file certain business income tax, information, and other returns. The extension will be granted if you complete Form 7004 properly, make a proper estimate of the tax (if applicable), file Form 7004 by the due date of the return for which the extension is requested, and pay any tax that is due. Note: Do not use Form 7004 to request an automatic extension of time to file Form 1041-A. Instead, use Form 8868.

Additional reporting conditions

Generally, Form 7004 must be filed on or before the due date of the applicable tax return. The due date of the return can be found in the instructions for the applicable return. Exceptions. See the instructions for Part II, line 2, for foreign corporations with no office or place of business in the United States. See the instructions for Part II, line 4, for foreign and certain domestic corporations and for certain partnerships.

File a separate Form 7004 for each return for which you are requesting an extension of time to file. This extension will apply only to the specific return identified on Part I, line 1. For consolidated group returns, see the instructions for Part II, line 3.

The entity can round off cents to whole dollars on its return and schedules. If the entity does round to whole dollars, it must round all amounts. To round, drop amounts under 50 cents and increase amounts from 50 to 99 cents to the next dollar (for example, $1.39 becomes $1 and $2.50 becomes $3). If two or more amounts must be added to figure the amount to enter on a line, include cents when adding the amounts and round off only the total.

Calculations and supporting information

Enter the appropriate form code in the boxes on line 1 to indicate the type of return for which you are requesting an extension. See Maximum extension period, earlier. If an association is electing to file Form 1120-H, U.S. Income Tax Return for Homeowners Association, it should file for an extension on Form 7004 using the original form type assigned to the entity. See the Instructions for Form 1120-H.

Note: The trustee of a trust required to file Form 1041-A must use Form 8868, instead of Form 7004, to request an extension of time to file.

Check the box on line 2 if you are requesting an extension of time to file for a foreign corporation that does not have an office or place of business in the United States. The entity must file Form 7004 by the due date of the return (the 15th day of the 6th month following the close of the tax year) to request an extension.

Periods and Methods. If you have a short tax year and none of the reasons listed apply, check the box for “Other” and attach a statement explaining the reason for the short tax year. Clearly explain the circumstances that caused the short tax year. If Form 7004 is filed for a return covering a short tax year ending in June, see Maximum extension period, earlier.

Exceptions and related reporting

Enter the total tax, including any nonrefundable credits, the entity expects to owe for the tax year. See the specific amount of the tentative tax. If you expect this amount to be zero, enter -0-.

Form 7004 does not extend the time to pay tax. If the entity is a corporation or affiliated group of corporations filing a consolidated return, the corporation must remit the amount of the unpaid tax liability shown on line 8 on or before the due date of the return.

Most entities must use electronic funds transfer (EFT) to make all federal tax deposits, including deposits for corporate income taxes. Generally, EFTs are made using the Electronic Federal Tax Payment System (EFTPS). To get more information about EFTPS or to enroll in EFTPS, go to EFTPS.gov or call 800-555-4477. If the entity does not want to use EFTPS, it can arrange for its tax professional, financial institution, payroll service, or other trusted third party to make deposits on its behalf. See the instructions for the entity’s tax return.

If you file Form 7004 electronically, you can pay by Electronic Funds Withdrawal (EFW). See Form 8878-A. For more information on how to make payments and additional payment methods, go to IRS.gov/Pay. If the corporation expects to have a net operating loss carryback, the corporation can reduce the amount to be deposited to the extent of the overpayment resulting from the carryback, provided all other prior-year tax liabilities have been fully paid and Form 1138 is filed with Form 7004.

A practical example

A partnership or corporation needs additional time to finish its return. The preparer checks the applicable form code and period, addresses any payment requirement and retains confirmation of the extension request.

This example illustrates the order of the review. It does not assume an unverified deduction, exemption, treaty rate or final tax amount. The applicable form instructions and the actual records determine the result.

Common mistakes to avoid with Form 7004

  • Choose the correct return code.
  • Distinguish the filing extension from payment deadlines.
  • Preserve proof of the extension request and any payment.

Questions about Form 7004

Does receiving or downloading this form mean I must file it?

An eligible entity requests the automatic filing extension covered by the form for the specified business return. The form purpose and the applicable filing or furnishing conditions determine the action. Downloading a blank PDF does not itself create a filing obligation or establish eligibility for a tax benefit.

Is the revision date always the same as the tax year?

No. Some forms show a tax year, while continuing-use forms show a revision date and ask separately for the reporting period. Check the actual document and instructions. Do not relabel a payment or transaction solely because it was reported in a later calendar year.

What should I do if the underlying information is wrong?

Choose the correct return code. Keep the original record and the correction trail. The issuer correction process, an amended return and an updated certificate can be different procedures. Choose the process that matches the document and the actual error.

Which records should I keep with the completed form?

Retain the source documents, applicable worksheets, submitted version and filing or furnishing confirmations. For this form, the working file should include entity name and EIN, return form and code, tax period. Keep continuing balances and prior-year support for as long as they remain relevant under the applicable recordkeeping rules.
