This Form 1042-T 2026 guide explains the IRS Annual Summary and Transmittal of Forms 1042-S. Form 1042-T transmits the paper Forms 1042-S covered by the applicable instructions. It is not the annual withholding tax return and does not replace electronic filing when that method is required. The count, tax year and withholding-agent identification should agree with the transmitted forms.

What Form 1042-T 2026 does and who prepares it
A withholding agent uses the transmittal when the paper information-return filing instructions require it.
For the connected reporting route, see Form 1042-S. Keep the role of that document separate from the task explained on this page.

Which version of Form 1042-T 2026 should you use?
The 2026 in the title identifies the tax year or calendar-year information addressed by this guide. For a 2026 income reporting document, the preparation or filing activity may occur in 2027. Do not change the income year simply because the calendar has changed. The exact filing or furnishing date comes from the instructions for this form and the filer circumstances. The linked target PDF is a draft. It may be used to understand the proposed layout, but it is not a form to file. Amounts or instructions still subject to completion must be checked again when the final version is released.
Records to gather for Form 1042-T 2026
- Paper recipient reporting forms.
- Withholding agent EIN.
- Form count.
- Tax year information.
- Correction indicators when applicable.
Keep a working reconciliation with these records. It should show the source of each reported item, any correction made before filing and the reason a different amount appears on a connected form. This is especially useful when a statement is corrected or a prior-year balance continues into the current calculation.
How to work through Form 1042-T 2026
- Confirm applicability. Start with the purpose, filer category and version of the form. Complete any eligibility or applicability question before spending time on the numerical calculation.
- Prepare the source workpapers. Gather the records listed below and reconcile their totals. Keep prior-year balances, current-year transactions and estimated payments separate where they serve different purposes.
- Complete dependent calculations first. When a line refers to another form, schedule or worksheet, finish that supporting calculation first. Preserve any classification, limitation and carryforward information.
- Follow the line sequence. Use the actual line labels and arithmetic in the applicable form. A line number from an older version may refer to something different after a revision.
- Reconcile the filing package. Check names, identifying numbers, tax periods, totals and required attachments. Then use the filing method, signature process and deadline that apply to this filer and form.
Form-specific IRS instructions and reporting details
The following points retain the operative wording of the IRS documents linked above. Read each point with its stated conditions and the applicable form version. References to another form or section describe a connected requirement; they do not mean that every reader must file every referenced document.
Check if you are a Qualified Intermediary, Withholding Foreign Partnership, or Withholding Foreign Trust revising its reporting on Form 1042-S to report to a specific recipient. See instructions.
Caution: If you have already filed a Form 1042 and an attached Form 1042-S causes the gross income or tax withheld information shown on your previously filed Form 1042 to change, you must file an amended Form 1042. See the instructions on page 2. If this is your FINAL return, enter an “X” here. See instructions.
General Instructions Purpose of Form Use this form to transmit paper Forms 1042-S, Foreign Person’s U.S. Source Income Subject to Withholding, to the Internal Revenue Service. Use a separate Form 1042-T to transmit each type of Form 1042-S. See the instructions for line 1 below.
Additional reporting conditions
Filing Forms 1042 and 1042-S Use of this form to transmit paper Forms 1042-S does not affect your obligation to file Form 1042, Annual Withholding Tax Return for U.S. Source Income of Foreign Persons. If you have not yet filed a Form 1042 for the 2026 tax year, you may send in more than one Form 1042-T to submit paper Forms 1042-S prior to filing your Form 1042. You may submit amended Forms 1042-S even though changes reflect differences in gross income and tax withheld information of Forms 1042-S previously submitted with a Form 1042-T.
If you have already filed a Form 1042 for the 2026 tax year and an attached Form 1042-S caused the gross income or tax withheld information previously reported on line 62c or 63e of your Form 1042 to change, you must file an amended Form 1042.
Calculations and supporting information
Specific Instructions Identifying information at top of form. The name, address, employer identification number, and chapter 4 and chapter 3 status codes of the withholding agent named on this form must be the same as those you enter on Forms 1042 and 1042-S. See the Instructions for Form 1042 for the definition of withholding agent. See the Instructions for Form 1042-S for the withholding agent codes for the chapter 4 and chapter 3 status codes.
You must enter both a chapter 4 and a chapter 3 withholding agent status code regardless of the type of payment being made. Line 1. You must file a separate Form 1042‐T for each type of paper Form 1042‐S you are transmitting. Line 1a. Withholding agents are not permitted to file a single Form 1042‐T to transmit both chapter 4 and chapter 3 amounts. Withholding agents must indicate either chapter 4 or chapter 3 to designate the chapter for which they are filing a given Form 1042‐T.
The chapter you designate on this form must be the same as that on all attached Forms 1042‐S. See Chapter indicator in the Instructions for Form 1042‐S for additional information.
Caution: Do not use Form 1042-T if you submit Forms 1042-S electronically. See the Instructions for Form 1042-S for the electronic filing requirements for Form 1042-S.

A practical example
A withholding agent determines that a permitted paper filing route applies. The agent checks the return count, year and identifying details and submits the required transmittal with the appropriate information forms.
This example illustrates the order of the review. It does not assume an unverified deduction, exemption, treaty rate or final tax amount. The applicable form instructions and the actual records determine the result.
Common mistakes to avoid with Form 1042-T 2026
- Check the permitted filing method before preparing a paper transmittal.
- Do not substitute the transmittal for Form 1042.
- Reconcile the transmittal with the exact forms in the paper group.
Questions about Form 1042-T 2026
Does receiving or downloading this form mean I must file it?
A withholding agent uses the transmittal when the paper information-return filing instructions require it. The form purpose and the applicable filing or furnishing conditions determine the action. Downloading a blank PDF does not itself create a filing obligation or establish eligibility for a tax benefit.
Can I file the draft PDF?
No. The linked target is marked as a draft. Use it to understand the proposed layout and prepare records, but wait for the applicable final filing version. Check the IRS source again before using any year-specific amount, worksheet or filing instruction.
What should I do if the underlying information is wrong?
Check the permitted filing method before preparing a paper transmittal. Keep the original record and the correction trail. The issuer correction process, an amended return and an updated certificate can be different procedures. Choose the process that matches the document and the actual error.
Which records should I keep with the completed form?
Retain the source documents, applicable worksheets, submitted version and filing or furnishing confirmations. For this form, the working file should include paper recipient reporting forms, withholding agent EIN, form count. Keep continuing balances and prior-year support for as long as they remain relevant under the applicable recordkeeping rules.
